Voxly Tuition | Maths, English & Science Tuition Centre

The Management of Voxly Tuition formally adopted this policy on 25th June 2026. It will be reviewed annually by the management team and will remain in effect unless and until the Management notifies the Institute of any amendments. This document should be read in conjunction with our Safeguarding and Child Protection Policy and Grievance Resolution Policy and Procedures.

Voxly Tuition Attendance Policy:

Introduction

This policy has been agreed upon by the management, staff, and pupils of Voxly Tuition. It reflects our commitment to achieving and maintaining 100% attendance—a goal that is attainable, as many children accomplish this each year.

The policy sets out the principles, procedures, and practices that Voxly Tuition will follow. It also details strategies, sanctions, and potential legal consequences of poor attendance and punctuality, alongside rewards and benefits for good attendance.

This policy will be reviewed, amended as necessary, and published annually in line with current legislation and guidance.

Principles

  • Every child has a legal entitlement to receive a full-time, high-quality education.
  • It is the legal responsibility of parents and carers to ensure this happens.
  • Regular attendance at Voxly Tuition supports children’s intellectual, social, and emotional development.
  • Regular attendance also helps safeguard children’s welfare while they are not in their parents’ care.
  • All children with poor attendance will be treated as vulnerable.

These principles are enshrined in British law, including the Education Act 1996, the Children Act 1989, and other related legislation.

Aims of the Policy

  • To ensure that all children attend as close to full-time as possible, maximising their educational achievement and social development.
  • To fulfil the Tuition Centre’s duty to safeguard its pupils to the best of its ability.
  • To ensure that all those responsible for children’s education—including parents, carers, staff, and management—understand and accept their responsibilities regarding attendance.
  • To minimise absence from the Tuition Centre, thereby reducing levels of persistent absence.
  • To improve the life chances of our children and young people, preparing them to become fully contributing citizens in adulthood.

Policy Objectives

  • To safeguard the welfare, health, and social and emotional development of children.
  • To reduce persistent absence.
  • To reduce or eliminate term-time holidays and leave of absence.
  • To promote commitment to education and high achievement.
  • To maximise the potential of every individual pupil.

Promoting Good Attendance

The Management, Department Supervisors, Head of Department, and all staff will use every available opportunity to promote the importance of good attendance and punctuality.

Requests for absences during term time will only be granted in the most exceptional circumstances, provided that verification and valid evidence can be supplied.

Responsibilities of Parents and Carers

Understanding Absence Coding

Every half-day absence from Voxly Tuition must be classified as either AUTHORISED or UNAUTHORISED. Therefore, parents must always provide information about the reason for any absence, preferably in writing.

Medical evidence—such as a copy of a prescription, GP note, or hospital/dental appointment letter—may also be required.

Absences that are likely to be authorised include:

  • Serious illness requiring hospitalisation,
  • Medical or dental appointments that unavoidably fall during Tuition Centre hours,
  • Serious accidents or emergencies.

Absences that are likely to be authorised include:

  • Celebrating birthdays, anniversaries, or other family events,
  • Looking after younger siblings,
  • Staying home because other family members are unwell,
  • Day trips or holidays during term time,
  • Arriving too late to be marked present,
  • Truancy.

Reluctant Attenders / Tuition Centre Phobia

Parents should do everything possible to encourage their child to attend. If reluctance appears to be related to issues at the Tuition Centre—such as difficulty with work, problems settling in, or trouble forming friendships—please discuss this with us at the earliest opportunity. We will do everything we can to support you.

Colluding with your child’s reluctance to attend is likely to make matters worse. Blaming others without valid reasons is also unhelpful, as it does not address the root cause. Working in partnership with Voxly Tuition usually achieves the best outcomes.

In some cases, Tuition Centre refusal or phobia may be linked to a psychological condition that can be medically diagnosed through a GP referral. Alternative arrangements may be put in place for children with genuine phobias.

Registration Procedures

  1. Registration Times
    Registers are taken daily at the start of each session.

      • Monday to Friday:
        Sessions run from 4:00 PM to 7:00 PM. Registers remain open until 07:00 PM.
      • Saturday and Sunday:
        Sessions run from 10:00 AM to 2:00 PM. Registers remain open until 3:00 PM.

Enrolment is only possible within these time frames. Registers are also taken during afternoon sessions and at break times as required.

2. Lateness Classification

Monday to Friday:

    • First Lesson: Registration period 4:00 PM – 05:00 PM. Arrival after 4:10 PM is recorded as late.
    • Second Lesson: Registration period 5:00 PM – 07:00 PM. Arrival after 5:15 PM is recorded as late.

Saturday and Sunday:

    • First Lesson: Registration 10:00 AM – 12:00 AM. Arrival after 10:00 AM is late.
    • Second Lesson: Registration 12:00 AM – 02:00 PM. Arrival after 12:15 AM is late.
    • Third Lesson: Registration 2:00 PM – 4:00 PM. Arrival after 2:00 PM is late.
    • Fourth Lesson: Registration 4:00 PM – 6:00 PM. Arrival after 4:15 PM is late.

All enrolled students are expected to maintain good attendance within their designated session times.

Authorising Absences

Only the Supervisor, Head of Department, or a designated member of staff acting on their behalf can authorise absences.

If no reason is provided at registration, the absence will be recorded as unauthorised until a satisfactory explanation is given. If the reason is deemed unsatisfactory or cannot be evidenced, the absence will remain unauthorised.

All absence notes will be kept for the remainder of the academic year—or longer if further investigation or legal action is required.

If a pupil is persistently late, the Supervisor/Head of Department will arrange a meeting with the family as soon as a pattern is identified. If lateness is due to poor habits, the relevant authorities may be informed.

First Day Absence Contact

Parents are expected to notify Voxly Tuition if their child is unable to attend for any unavoidable reason, such as illness.

If we do not receive notification through our absence reporting portal (see Appendix 2), our system will automatically send a text message, or a representative will telephone the parent/carer/guardian on the first day of absence to ascertain the reason.

If no valid reason is provided, the absence will be recorded as unauthorised. First-day contact will be made as early as possible to notify parents if a child who usually travels independently has not arrived as expected.

In the event of any accident or emergency at the Tuition Centre, we will take necessary action, including contacting parents.

Second Day Absence Contact

If a child remains absent on the second day without contact from the family, a telephone call will be made to the home. The family may be asked to attend a meeting at the Tuition Centre. If illness or emergency is cited, parents will be asked to provide appropriate proof or documentation.

Continuing Absence Procedures

In the event of an absence lasting two weeks without any contact from the family, all lessons will be terminated, and four weeks’ fees will be charged.

The Role of ParentsFrequent / Persistent Absence Procedures

Regular checks of registers will be carried out to identify pupils with patterns of absence or lateness that may lead to 
Persistent Absence (PA) —defined as absence of 15% or more within a half-term period.

Management will be notified of any emerging concerns and will put in place appropriate actions for each pupil. Initially, we will work with parents and carers to resolve the issue. If the pattern continues, Voxly Tuition reserves the right to discontinue services for the student concerned.

Consequences of Poor Attendance and Punctuality

If attendance and/or punctuality fail to improve after a range of interventions and support measures have been tried, the following consequences may apply:

  1. The Tuition Centre may cancel the student’s enrolment contract, with no refund of deposit or advance fees.
  2. Voxly Tuition reserves the right to refuse future admission to the same student.

Children Who Cease to Attend Without Prior Notification (CME)

Procedures for tracing children who cease to attend without prior notification are detailed in our Children Missing Education (CME) Policy and Procedures.

If, after ten continuous days of absence, Voxly Tuition has been unable to ascertain the whereabouts of a pupil, the pupil will be removed from the roll register.

Non-Starters

Pupils who are allocated places but fail to start are also treated as CME. If Voxly Tuition has been unable to contact the family within a ten-day period after their expected start date, the allocated place will be withdrawn. The student may be offered alternative time slots or days, subject to availability.
